Appointment & Cancellation Policy

At TCAWC, appointment times are reserved specifically for each patient.

These policies help us keep schedules running smoothly and ensure appointment availability for all patients seeking care.


Appointment Reservations

A valid credit or debit card on file is required to reserve and maintain all appointments.

Your card will not be charged at the time of booking. It may be used for:

  • Copays or balances after insurance is processed
  • Late cancellations or missed appointments
  • Any outstanding balances

All card information is securely stored through our encrypted, HIPAA-compliant payment system.


Cancellation & No-Show Policy

We ask that any changes or cancellations be made at least 24 hours in advance.

  • Late cancellations (less than 24 hours’ notice): $65 fee
  • Missed appointments (no-show): $130 fee

These policies help us keep appointment times available for other patients and support the time reserved by our practitioners.

Each patient is eligible for one courtesy waiver per calendar year, which may be applied when appropriate.

If you need to make a change within 24 hours, please contact the office as soon as possible so we can support you.


Late Arrivals

If you are running late, please call the office to let us know.

Depending on the schedule, we may need to shorten your visit or help you reschedule to ensure we stay on time for all patients.


Insurance & Payment Responsibility

If you are using insurance, we will verify your benefits as a courtesy. This verification is an estimate and not a guarantee of coverage.

Final coverage and payment responsibility are determined by your insurance provider once claims are processed.

Patients are responsible for any applicable copays, deductibles, or coinsurance, as well as notifying us of any insurance changes prior to their appointment.
